Here’s a guide to keeping your travel documents in order so you can travel confidently and stress-free.

Check Your Passport Early

It may sound obvious, but many travelers discover too late that their passport has expired. Most countries require your passport to be valid for at least six months beyond your planned date of entry. Check the expiration date as soon as you start planning your trip.

If you need a new passport, you can apply through the U.S. Department of State’s website or at a passport acceptance facility such as a post office or county clerk’s office. You’ll need a recent passport photo, proof of citizenship, and valid identification. During busy travel seasons, processing times can stretch to several weeks, so apply early.

If you’re traveling with children, remember that every child—no matter their age—must have their own passport. Both parents or guardians typically need to provide consent for minors under 16.

Do You Need a Visa?

Visa requirements vary widely depending on your destination and the purpose of your trip. Some countries allow U.S. citizens to enter visa-free for short stays, while others require you to apply in advance or obtain a visa upon arrival.

Always check the official information on the U.S. Department of State’s travel website or the embassy page of the country you plan to visit. There you’ll find up-to-date details on visa requirements, entry permits, and any additional documents you may need, such as proof of onward travel or vaccination records.

Visa processing can take time—sometimes several weeks—so don’t wait until the last minute. Keep copies of your application and confirmation emails in case you need to reference them later.

Digital Documents Are Handy—But Have a Backup

Many airlines and border authorities now accept digital boarding passes and travel documents on your phone. It’s convenient, but technology can fail. Your battery might die, or you could lose internet access at a crucial moment.

Always carry physical copies of your most important documents: passport, visa, travel insurance, flight itinerary, and hotel reservations. Store these copies separately from the originals—perhaps in your checked luggage while keeping the originals in your carry-on.

You can also scan your documents and save them securely in a cloud service or encrypted storage app. That way, you can access them from any device if your belongings are lost or stolen.

Don’t Forget Travel Insurance and Health Documents

A valid passport and visa are essential, but travel insurance is just as important. It typically covers medical emergencies, trip cancellations, and lost luggage, but coverage varies by provider. Read the policy carefully and make sure it applies to your destination.

If you’re traveling abroad, check whether your health insurance covers you outside the United States. Many plans don’t, so supplemental travel medical insurance may be a smart investment. Some destinations also require proof of certain vaccinations, so review health requirements well before departure.

Keep Documents Safe While Traveling

Once you’re on the road, focus on keeping your documents secure. Use a travel wallet or organizer for your passport, tickets, and cards. Many travelers prefer a money belt or hidden pouch for their most valuable papers.

Avoid keeping all your documents in one place—if your bag is lost or stolen, you could lose everything. Split them up so you always have a backup. Taking photos of your documents can also help you verify your identity if something goes missing.

If Something Goes Wrong

If your passport is lost or stolen abroad, report it immediately to the local police and then contact the nearest U.S. embassy or consulate. They can issue an emergency passport so you can return home. Having copies or digital scans of your passport will make the process much easier.

If you lose your visa, contact the local immigration authorities or the embassy of the country you’re visiting for guidance. In some cases, you may be able to get a replacement on the spot.
